The role of the Office of the Ombudsman is to promote the right to good public administration and as an independent and impartial institution investigates citizens’ allegations of maladministration with fairness and in a timely and effective manner, and gives his Final Opinion thereon.
The Office of the Ombudsman is seeking to recruit two motivated, organised and reliable Clerical Officers to join its Secretariat. Reporting to the Head of the Secretariat. The successful candidates will provide comprehensive clerical and secretarial support to the Office and contribute to the efficient day-to-day operation of its services.
Main Responsibilities
The main responsibilities, include the preparation, typing and proofreading of reports, correspondence and other official documents. The role also involves providing administrative and personal assistant support to Commissioners, managing telephone enquiries, maintaining filing systems and the Office's Case Management System, assisting with the translation of documents between Maltese and English, supporting the preparation and publication of reports through document formatting and undertaking reception duties and other general administrative responsibilities as required to ensure the efficient operation of the Office.
Candidate Profile
The ideal candidate will be organised, reliable and capable of managing a varied workload with accuracy and attention to detail. Applicants should possess excellent written and verbal communication skills in both Maltese and English, be proficient in Microsoft Office applications and general office systems, and be able to work effectively both independently and as part of a team. The successful candidate will demonstrate professionalism, integrity, discretion and a strong commitment to confidentiality, while remaining flexible and willing to provide support across a range of clerical and administrative functions within the Office. A minimum level of advanced education standard or equivalent is essential.
On a personal level the incumbent will need to be a good team player maintaining a positive working relationship with colleagues and stakeholders and able to plan, organise and prioritise work to resolve issues effectively.
